Hiring talk is two packs, not a quote poster

What recruiting repeats is not “thanks for your interest.”

It is two structures. To a candidate: who they are, which role, what happens next. To a hiring manager: who, which round, what you need back. Thirty emails that differ only by name expire the week the job description changes.

One group for candidates. One group for hiring managers. Change a greeting once. Every template that includes it changes.

Split the two packs first

Do not start by collecting “books every interviewer should read.” Separate the two letters you already sent this week.

  1. Install and grant accessibility. The abbreviation expands in the focused field. No account required. See Getting started.
  2. Make two groups: hr-cand- for candidates, hr-hm- for hiring managers. The prefix lands in the abbreviation, so you can see who the letter is for. See Groups.
  3. Each pack gets its own greeting and signature. Nest %s:hr-hello% and %s:hr-hm-hello%. See FillIn.
  4. In mail or the browser ATS field, type the abbreviation, press Tab, and fill name and role.

The candidate pack keeps structure. The scene is a condition, not two full letters:

The manager pack uses a different greeting. Do not reuse hr-hello:

A “no” lives in a branch. Do not keep a “soft no” and a “hard no” as two complete emails. If the tone must change, change that branch.

Do not write “replace the candidate name here” in the body. The popup appears on expand. Confirm with ⌘/Ctrl+Enter.

The loop is the same as every other snippet: type a short abbreviation in the focused app, press the trigger, this machine inserts the finished letter. The ATS does not need a plugin. The recruiter does not need a second window of quotes.

Where it may fire

If mail, the browser ATS, and chat all need the same pack, leave the group global. If it wrecks a terminal or an IDE, turn on ExpandIn (Pro) and keep mail and the browser.

Sharing the candidate pack is organization shared groups. If the manager pack is only for recruiting, do not drop it under the same prefix as company-wide support. See Team copy.

Do not

  • Do not publish recruiting book lists, interviewer quotes, or meme posters. Those are not snippets and they never reach a text field.
  • Do not clone thirty snippets per candidate. The name is FillIn.
  • Do not turn “not moving forward” into its own encyclopedia. It is one branch of one snippet.
  • Do not use hi, offer, or reject as abbreviations. See Abbreviation hygiene.
