Organizations & shared groups

Support wants the same replies on every desk. Right-click a personal group โ†’ Share to organization. After that, the group shows up under a locked Organization section on each teammateโ€™s sidebar.

Sharing moves that one group into the team library. It is not a hidden copy of your private library. You can expand those abbreviations on the desktop; change the text in the web library.

Join an organization

  1. An admin copies an invite link on the web library org page (no email is sent).
  2. Open the link, sign in, accept.
  3. On the desktop, sign in to CE Cloud, then open the main window or click Sync now. Shared groups appear under Organization.

Without a Team seat the sidebar may still list groups you already shared, so a second computer does not โ€œloseโ€ them. An empty Organization section explains that you need a seat โ€” it does not pretend the library is empty.

Share a group

  1. Right-click a Just me group โ†’ Share to organizationโ€ฆ.
  2. Pick the organization and an audience: Everyone or a Team. Confirm stays disabled until you pick one.
  3. The dialog says only this one level moves. If there are child groups, you confirm the count. The whole tree is not moved in the background.
  4. After sharing, the group leaves Just me and appears under Organization.
  5. Coworkers can expand it after their next sync. If you still have the same personal files on this computer, the app will not fire the abbreviation twice.

A personal yearly plan cannot share to an organization. The app tells you a Team seat is required.

What the desktop can do

  • You can expand, copy the abbreviation or prefix, or Copy to my library (your own copy).
  • You cannot edit a shared group on the desktop and save it back to the company. Use the web library.
  • The context menu opens the website or Sync now.
  • If the Team seat expires, the org library stays readable and stops updating. Your private library is unchanged.
  • Editing org text on the website usually needs at least two valid Team seats.

Who can see a shared group is set in the web org library. The desktop has no second permission panel.
